Role Overview

We are seeking a highly organized and proactive Executive Assistant with experience or strong familiarity in the U.S. real estate market. This role combines administrative excellence with operational and commercial support, playing a key role in ensuring smooth day-to-day execution across real estate transactions, client management, and executive coordination.

The ideal candidate is detail-oriented, tech-savvy, and comfortable working in a fast-paced environment, with strong English communication skills (B2–C1) and the ability to interact professionally with clients and stakeholders.

Key Responsibilities

Real Estate & Transaction Support

  • Create, analyze, and maintain Comparative Market Analysis (CMA) for properties

  • Prepare and redact Listing Agreements and Purchase Agreements using CAR and PRDS contracts

  • Research and navigate CAR databases to support client and internal inquiries

  • Coordinate with agents, clients, and third parties to ensure the timely completion of transactions

  • Support documentation, compliance, and file management throughout the transaction lifecycle

CRM & Client Management

  • Manage and update CRM systems, including adding and maintaining client records

  • Track client interactions and ensure follow-ups are completed

  • Support pipeline visibility and organization

Administrative & Executive Support

  • Manage professional and personal scheduling for executives (calendar, meetings, calls)

  • Coordinate complex calendars and ensure efficient time management

  • Handle email and communication flow on behalf of executives when needed

  • Organize travel logistics, including accommodations and transportation

  • Support general office operations and company logistics

Marketing & Social Media Support

  • Coordinate with the Marketing Team to develop brochures, flyers, and newsletters

  • Support and manage social media accounts, ensuring a consistent and professional presence

  • Assist in keeping the company website updated with relevant real estate content and listings

Financial & Operational Tasks

  • Execute assigned real estate billing and payment processes

  • Support operational workflows to ensure smooth business execution

Requirements

Must-Have

  • Experience or strong knowledge of the U.S. real estate market

  • English proficiency: B2–C1 level (written and spoken)

  • Strong organizational and multitasking skills

  • Experience working with CRM systems

  • Excellent communication and attention to detail

Highly Valued

  • Experience supporting real estate agents, brokers, or agencies

  • Familiarity with CAR and PRDS contracts

  • Experience managing or supporting social media accounts

  • Experience in remote or international work environments

  • Basic knowledge of marketing tools and content creation
